Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.
Front Desk/Receptionist's duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors, and providing general administrative support to our employees.
Previous experience as a Front Desk/Receptionist is required.
A successful Front Desk/Receptionist should have experience with a variety of office software (email tools, spreadsheets, and databases) including viop phone systems.
Ultimately, the Front Desk/Receptionist should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities Serve as the point person for Front Desk/Receptionist duties including maintenance, mailing, office supplies, food and snack supplies, equipment ordering and management, bills, errands, shopping.
Manage phone and text features between clients and service departments.
Provide overflow phone and text support for service departments.
Coordinate birthday announcements and recognitions Coordinate, execute and breakdown of seasonal and holiday office d cor.
Schedule meetings and appointments Maintain the office condition and arrange necessary repairs.
Coordinate with IT department on all office equipment Provide general support to visitors.
Address employees' queries regarding office equipment issues Liaise with facility management vendors, including cleaning, and catering.
Plan in-house or off-site activities, like parties, celebrations, and conferences Skills Proven experience as an Front Desk/Receptionist or administrative assistant Knowledge of office administrator responsibilities, systems, and procedures Proficiency in MS Office (MS Excel and MS Outlook, in particular) Familiarity with email scheduling tools, like Email Scheduler Excellent time management skills and ability to multi-task and prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational and planning skills in a fast-paced environment A creative mind with an ability to suggest improvements.
High School degree:
additional qualification as an administrative assistant or Secretary will be a plus.
